PURPOSE OF THE POSITION:
- Answer telephones, greet clients & visitors, and provide administrative support to staff in the Newport News office
- Provide support for In-Home Respite and CARES programs as well as to the Director of Health and Community Services Department as time permits
QUALIFICATIONS:
- High school education
- Minimum of three years work related experience
- Experience with computer and standard office equipment
- Acceptance of Pro-Life philosophy
ESSENTIAL FUNCTIONS & RESPONSIBILITIES:
- Answer all incoming calls and route calls to appropriate staff
- Greet clients and visitors to office
- Keep abreast of agency and community resources and refer clients to additional resources and services as needed
- Collect clinical therapy fees and write receipts for clients
- Prepare weekly deposit
- Accept donations and provide written receipt for items, scan copy of receipt to Development Assistant and file
- Participate, as requested, in support and administrative staff meetings
- Assist with scheduling building maintenance, pest control, car maintenance, fire extinguishers maintenance, etc., as issues arise
- Perform and document office fire drill quarterly
- Order office and cleaning supplies as needed
- General support for Health and Community Services Director
- Aide with monthly reports
- Aide with PQI reports for Department
- General support for In-Home Respite Coordinator
- Aide in inputting time sheets from the Peninsula
- Aide in emergent Respite calls when Coordinator out of office
- Assist with marketing for respite workers on the Peninsula
- General Support for CARES
- Aide in inputting time sheets from the Peninsula
- Assist with marketing for volunteers on the Peninsula
- Assist with CARES clients being enrolled for Thanksgiving and Christmas assistance
- Post adoption exchanges between birth families and Adoptive families
- Close all Adoption cases
- Scan DVIP documents to FLE Administrator weekly
- Manage the Jive Phone System
- Respond to needs in line with abilities and professional interests
- Perform related tasks as needed
- Interpret Agency’s programs and policies to other professionals / community organizations interacting with during delivery of services
- Keep abreast of community resources available to clientele served by department
WORK DEMANDS & ENVIRONMENT
- Ability to stoop, lift (ex. pick, pinch, type, or grasp)
- Exerting up to 20lbs of force occasionally and/or a negligible amount of force frequently to lift, carry, push, pull or otherwise move objects.
- Ability to inspect and analyze figures, accounting items, written materials, newsprint, computer terminal characters, transcription, and other similar objects at distances generally close to the eyes.
- The worker is subject to a variety of inside environmental conditions that may occur in an office, private home, or elsewhere in the community
